Privacy Policy

We keep this short and plain because we think you deserve to understand it. We collect only what we need to run your care plan, we don’t sell your data to anyone, and we store everything securely.

1. Who we are

WPValet is a WordPress care service operated by Vincere. Our registered contact email is care@wpvalet.co and our website is wpvalet.co.

When we say “we”, “us”, or “WPValet” in this policy, we mean the team behind wpvalet.co. When we say “you” or “client”, we mean anyone who uses our website or subscribes to one of our care plans.

2. What information we collect

Information you give us

When you contact us, request a site review, or sign up for a care plan, we may collect:

  • Your name and email address
  • Your company or business name
  • Your website URL
  • Billing and payment information, which is processed securely by Stripe
  • Information you provide in forms, emails, support requests, or other communications
  • Any other information you voluntarily provide to us in connection with your website or our services

Information we access to provide our services

To review, maintain, monitor, and support your WordPress website, we may need access to:

  • Your WordPress administrator account
  • Your hosting or cPanel account
  • Relevant third-party services, APIs, or website management tools where necessary to perform the agreed work
  • Technical information about your website, including its WordPress configuration, plugins, themes, integrations, and related system information

During onboarding and ongoing maintenance, we may encounter information stored within your website or connected services. We access such information only as reasonably necessary to review, maintain, troubleshoot, secure, or support the website and provide the services you have requested.

Website credentials and other sensitive access information are stored using an encrypted password-management system with access limited to authorised members of our team. We do not intentionally store credentials in plain text, spreadsheets, or ordinary email communications.

Information collected automatically

Our website may collect standard technical and analytics information such as page visits, browser type, device information, IP address, and approximate geographic location.

We use this information to understand how our website is used, maintain website security, and improve our services. We do not use this information to identify you personally unless reasonably necessary for security, fraud prevention, or service operation.

3. How we use your information

We use information we collect or access to:

  • Review your website during onboarding and determine whether it is suitable for the selected care plan
  • Deliver and manage your WordPress care and support plan
  • Perform updates, monitoring, maintenance, troubleshooting, and approved development work
  • Communicate with you about your website, support requests, approvals, and account
  • Send monthly activity or maintenance reports
  • Process payments and manage billing
  • Maintain website and service security
  • Diagnose and resolve technical issues
  • Provide customer support
  • Comply with applicable legal and financial record-keeping requirements
  • Improve how we operate and deliver our services

We do not sell your personal information.

We do not use client website access or information for advertising purposes. We may share information with service providers where reasonably necessary to operate WPValet or deliver the services, such as payment processing, email, credential management, hosting, or website management tools.

4. How we store and protect your data

We take reasonable measures to protect the information we handle:

  • Website credentials are stored in an encrypted password-management system with access limited to authorised team members.
  • Email communications are handled through Google Workspace.
  • Payments are processed through Stripe. We do not store full payment card numbers or banking credentials.
  • Access to client websites and systems is limited to team members who need it to perform the agreed services.
  • We do not intentionally store website credentials in plain text, spreadsheets, personal email accounts, or messaging apps.

No method of storing or transmitting information over the internet is completely secure. While we take reasonable measures to protect information, we cannot guarantee absolute security.

Data retention

We retain client information for as long as reasonably necessary to provide our services, maintain business and financial records, resolve disputes, comply with legal obligations, and protect our legitimate business interests.

When a client cancels their plan, we remove website credentials from our active systems within 30 days, subject to legitimate security, legal, or operational requirements.

Other client and billing records may be retained for a longer period where reasonably necessary for legal, accounting, tax, fraud-prevention, dispute-resolution, or record-keeping purposes.

You may request deletion of personal information as described in Section 7, subject to information we are legally required or otherwise legitimately permitted to retain.

5. Third-party services we use

WPValet uses third-party services to operate the business and deliver its services. These may include:

  • Stripe — payment processing. Stripe’s privacy policy applies to information processed through its services: stripe.com/privacy
  • MainWP — WordPress site management and maintenance
  • Google Workspace — email and internal communication
  • Bitwarden / 1Password — secure credential storage

Depending on the services required for a particular client or project, WPValet may also interact with third-party services connected to a client’s website, such as hosting providers, domain providers, email services, premium WordPress plugins or themes, APIs, payment processors, analytics tools, or other software.

Those services are generally operated and controlled by the client or the relevant third-party provider and may have their own privacy policies and terms. WPValet is not responsible for the privacy practices of third-party services that are not operated by WPValet.

6. Cookies

Our website uses cookies and similar technologies that are necessary to operate the website and provide requested functionality.

We may also use limited analytics or similar technologies to understand website usage and improve our website and services.

We do not sell cookie data or use advertising cookies for the purpose of selling or renting personal information to third parties.

If we introduce additional analytics, advertising, or tracking technologies that materially change how personal information is collected or used, we will update this Privacy Policy and, where required, obtain any necessary consent.

7. Your rights

Depending on your location and applicable law, you may have rights regarding your personal information, including:

  • Access — request a copy of the personal information we hold about you
  • Correction — ask us to correct inaccurate or incomplete information
  • Deletion — ask us to delete your personal information, subject to applicable legal or legitimate retention requirements
  • Portability — request certain information in a portable format
  • Objection or restriction — object to or request restriction of certain processing activities where applicable
  • Withdrawal of consent — where processing is based on your consent, withdraw that consent

We may need to verify your identity before completing certain requests. We will respond within the timeframe required by applicable law.

8. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, third-party providers, or legal requirements.

If we make significant changes to how we collect or use personal information, we will notify active clients where appropriate and update the “Last Updated” date at the top of this page.
